This Privacy Policy applies to the VantixBS website at vantixbs.com and the OMS application at oms.vantixbs.com, including account registration, Organisation workspaces, support, billing, invitations, and service communications.
OMS is a SaaS product operated by Vantix Business Solutions (VantixBS), India. VantixBS manages account, platform, billing, support, and security information needed to provide OMS.
Each Organisation controls the member and staff information it adds to its OMS workspace. Members should normally contact that Organisation first about their membership, attendance, payment, or profile records.
2. Information we handle
We collect only information needed to provide the website and OMS. The information depends on how you use the service.
Account details
Name, email, phone number, profile image, login information, role, permissions, and account status.
Organisation details
Organisation name, contact details, address, settings, plans, staff roles, forms, and workspace preferences.
Member and staff records
Contact details, membership or service plans, attendance, renewals, notes, form responses, and files added by the Organisation.
Billing information
Selected OMS plan, subscription period, price, tax, discounts, invoice details, and payment references supplied by Razorpay.
Communications
Invitations, reminders, notifications, support messages, delivery status, and communication preferences.
Technical information
IP address, browser and device details, login activity, service logs, and security events needed to operate and protect OMS.
OMS does not receive or store your raw card number, CVV, UPI PIN, or online-banking password.
3. How we use information
Create and secure user accounts and Organisation workspaces.
Provide member, staff, attendance, plan, renewal, and reporting features.
Process and verify OMS subscriptions, invoices, discounts, and eligible purchases.
Send invitations, account notices, reminders, billing messages, and support replies.
Maintain service quality, prevent misuse, and resolve technical problems.
Meet applicable contractual, accounting, tax, and legal requirements.
VantixBS does not sell personal information or use OMS workspace information for unrelated advertising.
5. Payments and communications
OMS subscriptions
Razorpay processes eligible subscription payments made by an Organisation to VantixBS. OMS keeps the payment reference, amount, invoice, and subscription result.
Member payments
An Organisation may record payments it has already received from its members. The Organisation remains responsible for those transactions and related member records.
We may send account, security, invitation, billing, reminder, and support messages needed to operate the service.
Organisations using WhatsApp communication must have the required recipient permission and respect opt-out requests.
6. Retention and deletion
We keep information only for as long as it is needed to provide OMS, maintain account and transaction history, answer support requests, protect the service, and meet applicable accounting, tax, contractual, or legal requirements.
Active account and workspace information is kept while the service is active.
Organisation-controlled member and staff records follow the Organisation's instructions and account status.
Invoices and payment records may be retained for accounting, tax, and transaction history.
Backup copies are removed through the normal secure backup cycle.
To request account closure, correction, or deletion, contact us using the details below. We may verify your identity and may keep limited records where required for invoices, security, disputes, or legal compliance.
7. Security and cookies
Security
OMS uses account controls, encrypted connections, hashed passwords, role-based permissions, server-side checks, and service monitoring to protect information.
Cookies and analytics
OMS uses essential cookies for secure sign-in. The VantixBS website uses Vercel Web Analytics and may use Google Analytics when configured to understand website usage.
8. Your choices and contact
Subject to applicable law, you may ask for access, correction, deletion, or withdrawal of consent. If your information was added by an Organisation, we may direct the request to that Organisation and assist it where appropriate.
OMS user accounts are intended for authorised adults. An Organisation must have appropriate permission before entering a child's information.
